Before doing so, make sure all applications that you are not using are closed. If the application has frozen: try to close it as normal, then reopen and rejoin. Make sure you have no external displays or monitors plugged into your laptop, or secondary displays plugged into your computer.

Make sure you have no applications open they may be using or controlling your webcam ie. Facetime, skype, etc Make sure you have given Zoom permission to access your camera: On Mac: instructions here. On Windows: instructions here. Restart your machine. If this is still not working, try an alternative device eg. Make sure there are no Bluetooth devices connected to your computer. Cases have been known to obstruct microphones on certain laptops: remove any cases, stickers or accessories that could be potentially obstruct your microphone.

Make sure you have no applications open that may be using or controlling your webcam if in doubt, close all applications that you are not using! If someone does sneak in, they could listen, capture screenshots, or disrupt the meeting with unwanted video or audio. If someone you don’t know joins your meeting, instructions are available below to Remove a Participant. If one or more participants are being disruptive or abusive, consider the option to Suspend Participant Activities.

Zoom hosts will see the meeting Security icon. Clicking the icon shows a number of useful options in a single menu. Hosts can toggle the following options on or off during meetings. Active features are identified with a checkmark. Clicking an active feature again toggles it off. Share Screen Turning this option off prevents participants other than the host from sharing their screens.

Chat Turning this option off prevents participants other than the host from using the Chat feature. Rename Themselves Turning this option off prevents participants from renaming themselves in the meeting. Annotate on Shared Content Turning this option off prevents participants other than the host from using annotation tools such as Draw, Stamp, Spotlight, Text, and Erase when screen sharing is used. This option is only visible to hosts when content is being shared.

In addition to using the Security icon menu to control meetings, consider setting the following options when scheduling meetings:.

The Waiting Room feature lets hosts control when each participant joins the meeting. As the meeting host, you can admit attendees one by one, or hold all attendees in the virtual waiting room and admit them en masse. This requires more work by the host, but only allows participants to join if you specifically admit them.

Adding this measure can also save you from having to admit them from the Waiting Room, and also automatically provides their Cornell names in the meeting Participants list. If you are scheduling a meeting where sensitive information will be discussed, it’s best to leave Enable join before host turned off. You can find the option under Meeting Options when scheduling a meeting. Visit Zoom’s Join Before Host help page for more information.

It’s strongly recommended that hosts also activate Only authenticated users can join when using this option. The Join Before Host option can be convenient for allowing others to continue with a meeting if you are not available to start it, but with this option enabled, the first person who joins the meeting will automatically be made the host and will have full control over the meeting.

Another option is to assign an Alternative Host. It’s still possible for a meeting to start without you the host even if Join Before Host is disabled. If you have given someone Scheduling Privilege , which allows them to schedule meetings on your behalf, then when that person joins a meeting before you, the meeting will begin and they will be made the host. After you join, the role of Host can be reassigned to you. Meeting passcodes previously called passwords are now required.

Passcodes are encrypted within the join meeting link and participants can join without entering it. Attendees who only have the meeting number and not the full link that includes the passcode will need to enter this passcode to enter the meeting.

You’ll need to communicate your passcode to those attendees or use a passcode known by them already. By default, screen sharing in Zoom meetings is limited to the host.

You can change this if necessary to allow other attendees to share their screens. If you do make this change and decide to return to having screen sharing be limited to the host, while in your meeting:. This won’t be appropriate when multiple participants will need to share and collaborate, but this restriction prevents unwanted attendees from interrupting the meeting with intrusive sharing.

If you add a Zoom meeting to your calendar using the Outlook Zoom add-in, the appointment text may include the full Zoom link including the encrypted Zoom meeting passcode.

If you have set up your calendar so that it is open for all colleagues to view the details of your meetings , this can expose the ability to enter the meeting to anyone who views your calendar. You can protect the passcode by making the calendar entry private.

When this option has been used to stop all video, audio, chat, screen sharing, annotation, and recording in a session, Zoom will prompt the host or co-host whether they would like to report a specific individual from the participant list, share details about the disruption, or include a screen capture of the disruption or abuse.

While your hand is raised, the icon should have an outline as below. When your hand is raised, this will be reflected in the list of participants as below. As a host of a Zoom meeting, you can manually lower a participants hand yourself by going to the main participants list as above. This is demonstrated below:. A chat window will then open. It is possible that during the conference participants will be ask to turn off their cameras and move to audio only, particularly if there are problems with the available bandwidth.

But like a lot of software, Zoom can be used both for good and by nefarious forces of evil who want to ruin your life one meeting at a time. As with any app, there’s no perfect guarantee of privacy all the time, especially if you’re on a free Zoom plan that doesn’t offer call encryption.

You might have some privacy concerns about Zoom, or you might just not want to get yourself into a super awkward situation. Here are some practical tips for avoiding those scenarios and staying secure on Zoom. For more general strategies for making the most of Zoom, here are 10 tips and tricks for Zoom. Zoombombing refers to a random stranger joining your Zoom call and ruining it, either by being inappropriate and sketchy or by compromising information that’s supposed to be private.

I don’t have nearly enough meetings to be at serious risk of being Zoombombed. But for some of you, having a random person show up in your meeting is a real concern. If you’re talking about proprietary company information in your all-hands meeting, for example, you don’t want strangers joining and hearing all about your plans to take over the world. So how can you avoid virtual gatecrashers? Solution: Require a meeting password and use a waiting room.

It’s pretty easy to avoid uninvited Zoom guests. When you schedule a new Zoom meeting, just make sure the Require meeting password checkbox is checked. The password will only be visible from the calendar event and invite for that specific meeting. In fact, Zoom recently changed its default settings so that passwords are automatically required for all new meetings, including for participants who join by phone.

Free accounts, including education accounts, can no longer disable this requirement. You can also lock a Zoom meeting once it begins, so no one else can join. Just click Participants at the bottom of the meeting window and then click the Lock Meeting button.
