When my user accepts a meeting invite from an external email address, the meeting will sporadically disappear from their desktop Outlook Calendar. It does not show in Outlook on the Web. It does not show in the Outlook Mobile app. This does not happen every time and only seems to happen around the first week of the month which makes no sense. It has happened to Teams meetings, Zoom meetings, and WebEx meetings. I cannot find a constant or a common factor to figure this out. This has been happening for about 5 months now.
It occurred again this week. The client sent a meeting invite at p. The user accepted the invite at p. The user missed the meeting which was to occur 2 days later because the meeting was not on his calendar nor was it showing as Tentative because he accepted the invite. The original meeting invite shows in the deleted folder as it should since they automatically delete after acceptance. The acceptance email is showing in the Sent folder.
There are no rules created in Outlook on the Web or in the desktop Outlook version. There are no auto-archive settings due to a mail retention policy and online archives. What am I missing here? Only meetings from external users are disappearing from the calendar. The meeting invite is in the deleted items folder because that is where meeting invites are set to go per the Calendar Options after accepting, declining, or marking as tentative. They do not remain in the Inbox unless you remove the check mark in the Calendar Options.
To my knowledge, this is only happening to 1 user. I have emailed him to ask about his Automatic Accept or Decline settings. I will keep you posted on that and will send screen shots shortly.
The Automatic Accept or Decline options are not checked. Please be kindly let the user to log in outlook on the web and then let him click the calendar on the left of the panel. If he still cannot see the meeting, please let him use search and type the meeting name in it to check if the meeting can be found with search.
Then please let the user check if the meeting you created time you created conflicts with his existing meeting. If the user accepted the meeting in outlook on the web, the meeting must be shown on the calendar normally.
If the user is accepting a meeting on the outlook client or mobile phone, there may be a problem with the outlook app when accepting the meeting, resulting in the inability to save the meeting on the server. So the meeting cannot be shown on calendar. You can let the user to accept the meeting on the outlook on the web to see whether the issue will be solved. I’ve been having a similar problem with some minor differences. I think I had 3 or 4 meetings disappear unexpectedly last November in near the end of the month. Last week it happened again and this week as well. These are meetings organized by an external client as well as at least one internal meeting. I checked and my records show that I accepted the last meeting an internal one but the meeting organizer says that in her meeting record it says that I declined the meeting.

I have asked them not to accept any meetings from their phone.
